What is hotel contracting?

Also called: travel contracting · supplier contracting

Definition

Hotel contracting is the negotiation and recording of agreements between a travel company and hotels: net rates by season, room types, meal plans, allotments, release periods, cancellation terms, and offers. Contracted rates are often better than bed-bank rates and give DMCs and tour operators an edge.

What a hotel contract covers

  • Seasons and blackout dates, with a rate per room type and meal plan.
  • Supplements (extra bed, single use, gala dinners) and reductions (child, third adult).
  • Allotments and release periods.
  • Cancellation and no-show policies.
  • Special offers such as early-bird, long-stay or honeymoon deals.

Why loading contracts is hard

Every contract has its own structure of seasons, supplements and offer rules. Entering them into spreadsheets leads to pricing errors; a contracting module stores them in a structured way so quotes and bookings price correctly every time.

Example

A DMC contracts a Phuket resort for the year with three seasons, two meal plans, a 10-room allotment and a 15% early-bird offer, and loads it once into its inventory system.
