What is a rooming list?

Definition

A rooming list is the list a group organiser sends to a hotel showing which guests share which rooms, with names, room types, bed configurations and arrival and departure dates. Hotels use it to allocate rooms and prepare check-in; DMCs and tour operators manage it for every group.

Why rooming lists cause problems

Group details change constantly — names, sharing arrangements, late additions and cancellations. When rooming lists live in spreadsheets emailed back and forth, the hotel often works from an out-of-date version, which leads to wrong room allocations at check-in.

Example

For a 60-person incentive group, the DMC sends the hotel a rooming list of 32 rooms — 28 twin-share and 4 singles — and resends it when two delegates swap rooms.
