Key Takeaways
- There are five common ways travel software is charged: one-time licence, per-booking fee, percentage or success fee, revenue share and flat subscription.
- Booking-linked fees look cheap at launch and grow every time you grow.
- A flat subscription is easiest to budget, but check what the plan’s booking or user limits are.
- Always compare the total 12-month cost at your real booking volume — not the headline price.
Travel software is usually charged in one of five ways: a one-time licence (often with a yearly maintenance fee), a fixed fee per booking, a percentage or "success fee" on booking value, a revenue share, or a flat monthly subscription. Booking-linked models rise with your volume; a flat subscription stays the same. The fair way to compare vendors is the total 12-month cost at your own booking volume.
Two vendors can quote prices that look nothing alike — one a large upfront figure, another a small monthly fee plus a cut of every booking — and still cost you the same, or wildly different amounts, over a year. This guide explains each model, who it suits and how to put them side by side.
The five pricing models
| Model | How you pay | Who it suits | Watch for |
|---|---|---|---|
| One-time licence | Large upfront fee, then annual maintenance (AMC) | Large firms with in-house IT | Upgrade costs, AMC of 15–25% a year is common, hosting not included |
| Per-booking fee | A fixed amount for every confirmed booking | Very low volumes | Cost grows in step with sales; cancellations may still be charged |
| Percentage / success fee | A share of booking value | Start-ups unsure of volume | The most expensive model once you scale; often not published |
| Revenue share | A share of your margin or revenue, agreed per deal | Partnerships and white-label resellers | Audit rights, how “revenue” is defined |
| Fixed monthly fee or subscription | Same monthly or annual fee | Most agencies, DMCs and OTAs | Booking, user or module limits inside each plan |
Many vendors mix models — for example a setup fee plus a subscription, or a subscription plus supplier-side fees. Ask for every line that will appear on an invoice.
A worked example: 500 bookings a month
Assume an OTA makes 500 bookings a month with an average booking value of $400 — $200,000 a month, $2.4 million a year. The rates below are examples for illustration, not any vendor’s quote.
| Model (example rate) | Monthly cost | 12-month cost |
|---|---|---|
| Per-booking fee ($2 per booking) | $1,000 | $12,000 |
| Success fee (1% of booking value) | $2,000 | $24,000 |
| Fixed monthly fee (example: $299) | $299 | $3,588 |
Double the bookings and the first two lines double too. A fixed monthly fee changes only when your scope changes.
Run this table with your own numbers before any demo. A vendor that will not give you a 12-month figure in writing is telling you something.
Questions to ask every vendor
- Is there any fee linked to bookings, booking value, searches or API calls?
- What is the setup or onboarding fee, and what does it include?
- What are the limits per plan — bookings, users, sub-agents, suppliers?
- Are supplier connections included, or charged per connection?
- What do support, customisation and training cost after go-live?
- What happens to the price at renewal?
Atharva Infotech, for example, publishes monthly plans of $300, $600 and $950 with hourly rates for support and customisation (its pricing page, October 2026). Travelgate describes a success-fee model without published figures. Most vendors quote per project.
